2. RETAINER

A 50% non-refundable retainer is required at the time of booking to reserve your date. This retainer will be applied toward your total balance. Your date is not secured until the retainer is received.

2. FINAL PAYMENT

The remaining balance is due no later than 3 days before the event date. Late or missed payments may result in cancellation of services and loss of retainer.

3. TRAVEL FEES

Travel is included for all events within 100 miles of Piedmont, Alabama.

Any distance beyond 100 miles will incur a $0.50 per mile fee, starting at mile 101.

4. RESCHEDULING & CANCELLATIONS

All retainers are non-refundable.

If the client cancels services, no portion of the retainer or prior payments will be refunded.

If the client requests to reschedule, a $100 rescheduling fee will apply, and the new date must be approved and available.

5. TURNAROUND TIME

    •    Photography galleries will be delivered within 2 weeks of the event date.

    •    Wedding films will be delivered within 6 weeks of the event date.

    •    Sneak peeks will be provided within 1 week of the event.

    •    Expedited editing may be available for an additional fee upon request.

6. COPYRIGHT & USAGE

All images and films are protected under U.S. copyright law. Clients are granted personal use rights and may share, print, and display their images/videos.

Altering, re-editing, or reselling of images or films without written consent is prohibited.

7. RAW FILES

RAW or unedited images and video footage are not included in any package and will not be delivered under any circumstance. All delivered content reflects Kelsea’s artistic style and brand standards.

8. CREATIVE CONTROL

Kelsea Wilson maintains full creative control over all image and video editing decisions. Client preferences are always considered, but editing style will remain consistent with the brand’s professional aesthetic.

9. COVERAGE LIMITATIONS

It is the client’s responsibility to communicate specific photo/video requests prior to the event.

Kelsea Wilson Photo + Video is not liable for missed moments due to restrictions, lack of communication, interference from guests, or venue limitations.

10. LIABILITY

Kelsea Wilson Photo + Video is not liable for any injuries, accidents, equipment failure, or unforeseen circumstances that may impact coverage. Backup equipment and standard precautions are always in place.

Client agrees not to make defamatory or negative public statements (including on social media) about Kelsea Wilson Photo + Video at any time following the completion of services. Any concerns should be addressed privately and professionally.

11. MEAL BREAKS (FOR WEDDINGS 6+ HOURS)

For events lasting 6 hours or more, a vendor meal must be provided for each team member present. This ensures continued coverage and performance throughout your day.

12. WEATHER OR EMERGENCY POLICY

In the event of illness, accident, natural disaster, or emergency, all efforts will be made to provide a qualified replacement.

Client agrees that if Kelsea Wilson is unable to attend for any reason, a trusted fill-in professional will be assigned to cover all parts of the day as originally contracted.

If a replacement is not available, a full refund will be issued minus any completed services or sessions.

13. DELIVERY METHOD

Final galleries and wedding films will be delivered via secure online gallery (Pixieset) or video link (YouTube/Vimeo).

USB delivery is available upon request. Client is responsible for downloading and backing up all files within 30 days.

14. CLIENT RESPONSIBILITIES

Client agrees to provide a detailed event schedule, key contact information, and any necessary permissions or permits for photography/videography at venues. Full cooperation is expected to ensure the best possible outcome.

15. MODEL RELEASE

Client grants Kelsea Wilson Photo + Video permission to use images and video footage from their session or event for portfolio, website, social media, and marketing purposes.

If the client wishes to opt out of public sharing, a written request must be submitted prior to the event.
